Tami Scott, Administrative Services Director

RECOMMENDATION:

Recommendation

Staff recommends the City Council authorize a month-to-month Facilities Grounds Maintenance Contract with P.S. Tree Service & Maintenance

Body

BACKGROUND:

The Facilities Department recently took over the expanded responsibility of grounds maintenance around existing buildings and other assets of the City that require exterior landscaping maintenance including Town Square. As a result, council authorized staff to complete a request for proposal to contract for certain grounds maintenance services, which has now been completed.

DISCUSSION:

Staff issued a request for proposal, publicly advertised and noticed said request and received six (6) responses.  The respondents where from Irvine, CA; Anaheim, CA, Indio, Bermuda Dunes, Thousand Palms and Cathedral City, CA.  Staff reviewed and scored all respondents, two of which received a tie score, one of which is P.S. Tree Service and Maintenance of Cathedral City ("PS").

The City has been doing business with PS for over 20 years.  PS has been in business over 20 years and has had contracts with other public agencies for over 15 years, also in good standing, carries a California State Contractors License C-27, Cathedral City business license and provides State Licensed pesticide service.  PS has been instrumental in upgrading Town Square and some of the surrounding park civic center already, is familiar with our irrigation system and importantly has been a long standing business in Cathedral City, which has been the policy of the City to hire locally; therefore, staff recommends entering into a month-to-month agreement with PS for said services.

FISCAL IMPACT:

$6,450 monthly for general maintenance plus plant materials, weed barrier and decomposed granite as requested by the City, estimated at an average of $3,000/month.  Funds are available as the result of a budget amendment approved by Council in November.
